An Accounts Payable / Receivable Clerk supports the financial health of the venue by ensuring that supplier invoices are processed accurately, customer and house account payments are tracked correctly, and records are maintained in a timely, organised manner. In a restaurant, club, or lounge environment, this role helps keep cash flow steady, protects against payment errors, and provides reliable financial information to the wider management team.

This position sits within the Purchasing, Finance & Administration function and works closely with the General Manager, Purchasing Manager, Finance team, and department heads. Depending on the size and structure of the business, the role typically reports to the Finance Manager, Financial Controller, or Accounts Supervisor.

Key responsibilities

  • Process supplier invoices, verify approvals, and match invoices to purchase orders, goods received notes, or delivery confirmations.
  • Prepare and issue customer, corporate, or house account invoices where applicable, and monitor outstanding balances.
  • Reconcile accounts payable and receivable records, investigate discrepancies, and follow up on missing documentation.
  • Schedule and process payments in line with agreed terms, while maintaining accurate records of due dates and payment status.
  • Track credit notes, refunds, adjustments, and disputed charges, ensuring all entries are correctly documented.
  • Assist with month-end closing tasks, including account reconciliations, ageing reports, and support documentation for audits.
  • Maintain organised filing systems, both digital and physical, for invoices, statements, payment confirmations, and correspondence.
  • Communicate professionally with suppliers, internal departments, and customers to resolve queries promptly.

The right person

  • Highly organised, accurate, and dependable, with strong attention to detail.
  • Comfortable handling numbers, deadlines, and repetitive processes without losing precision.
  • Professional and tactful when dealing with vendors and internal teams.
  • Able to work well under pressure in a fast-paced hospitality setting.
  • Proficient with accounting systems, spreadsheets, and standard administration tools.
  • Discreet with confidential financial information and committed to maintaining strong controls.

This role suits someone who is methodical, service-oriented, and confident balancing administrative discipline with the pace of a busy hospitality operation.
