The Receiving Clerk is a key control point within Purchasing, Finance & Administration, responsible for ensuring that all goods delivered to the restaurant, club or lounge are accurately checked, documented and entered into the operation with complete traceability. This role protects the business from incorrect deliveries, shortages, damaged stock, and invoicing discrepancies, while supporting smooth inventory flow and strong financial control.

  • Position in the organisation:

The Receiving Clerk sits within the Purchasing, Finance & Administration function and works closely with the Purchasing Manager, Finance team, Stores, Kitchen, Bar and Stewarding teams. The role reports directly to the Purchasing Manager or Finance Manager, depending on the structure of the operation, and acts as a gatekeeper between suppliers and the venue’s internal stock systems.

  • Key responsibilities:
  • Receive all incoming deliveries and verify them against purchase orders, delivery notes and specifications
  • Check quantities, product quality, packaging condition, expiry dates and temperature compliance where relevant
  • Record accepted, short-delivered, rejected or damaged items accurately and immediately
  • Liaise with suppliers and internal departments to resolve discrepancies, returns and credits
  • Ensure all received goods are properly signed, stamped and entered into the system or logbook
  • Support stock control by maintaining organized receiving areas and secure handling procedures
  • Escalate unusual pricing, substitutions or unauthorized deliveries to management promptly
  • Help maintain compliance with hygiene, safety and audit standards
  • What success looks like:

This role suits a person who is highly organized, honest and detail-focused, with a strong sense of accountability and the confidence to challenge errors professionally. A successful Receiving Clerk works quickly but carefully, communicates clearly with suppliers and internal teams, and understands that accurate receiving directly impacts cost control, inventory accuracy and guest experience. Strong basic numeracy, good record-keeping habits and a calm, practical approach are essential.
