The Licensing Coordinator plays a critical support role within HR, Training & Compliance, ensuring the business remains fully compliant with all required licences, permits and regulatory obligations. In a restaurant, club or lounge environment, this role helps protect the operation from legal, financial and reputational risk by keeping licensing records accurate, renewals on track and compliance actions properly documented.

The role typically sits within the central support function and works closely with senior management, venue leadership, operations, HR, finance and external authorities. It usually reports to the HR & Compliance Manager, Compliance Manager, or a similar senior leader responsible for regulatory governance across the business.

Key areas of responsibility include:

  • Licensing administration: Maintaining a complete and up-to-date register of all venue licences, permits, certificates and approvals.
  • Renewals and deadlines: Tracking expiry dates, submitting renewal applications and ensuring all filings are completed on time.
  • Regulatory compliance: Monitoring licence conditions and helping the business meet obligations related to alcohol service, entertainment, occupancy, health and safety, fire safety and local authority requirements.
  • Documentation and records: Organising supporting evidence, correspondence, inspection reports and compliance files for audit readiness.
  • Stakeholder coordination: Liaising with venue managers, HR, legal advisors, local authorities and external consultants to resolve licensing matters efficiently.
  • Training support: Assisting with the distribution of compliance information and ensuring relevant teams understand licence-related rules and procedures.
  • Issue escalation: Identifying potential breaches, missed deadlines or documentation gaps and escalating risks promptly to management.

The ideal person for this role is:

  • Highly organised and detail-focused, with strong administrative discipline
  • Reliable and discreet, able to handle sensitive regulatory information
  • Proactive and methodical, with the ability to manage multiple deadlines at once
  • Confident in communication, especially when dealing with internal teams and external regulators
  • Comfortable working in a fast-paced hospitality environment, where priorities can change quickly
  • Process-driven and calm under pressure, with a strong sense of accountability

A successful Licensing Coordinator combines accuracy, urgency and sound judgement to keep the business compliant and operating smoothly.
