An Onboarding Coordinator in HR, Training & Compliance is responsible for ensuring every new team member has a smooth, professional, and compliant start to work. In a restaurant, club, or lounge environment, this role sets the tone for employee experience by coordinating pre-boarding, first-day readiness, documentation, and early-stage training support so new hires can integrate quickly into the operation and understand standards from day one.

Position Overview

The Onboarding Coordinator typically sits within the HR, Training & Compliance function and works closely with the General Manager, Department Heads, Trainers, and Payroll/HR administration. The role is usually reported to the HR Manager, Training Manager, or Head of People, depending on the size and structure of the business. It acts as a key link between recruitment and operations, ensuring that hiring activity translates into well-prepared, compliant, and confident new starters.

Key Areas of Responsibility

  • Coordinate the full onboarding process from offer acceptance through to the first weeks of employment.
  • Prepare new starter paperwork, contracts, ID checks, policy acknowledgements, and compliance documents.
  • Schedule induction sessions, site tours, uniform handover, and training introductions.
  • Liaise with managers to confirm start dates, rota readiness, role-specific training, and workstation setup.
  • Track completion of mandatory training, certifications, and probation-related requirements.
  • Maintain accurate employee records and support HR systems, onboarding checklists, and compliance audits.
  • Follow up with new hires and managers to resolve issues, gather feedback, and improve the onboarding experience.

Who Succeeds in This Role

  • Highly organised, detail-focused, and calm under pressure, with the ability to manage multiple starters and deadlines at once.
  • Strong communicator who can build trust with new employees and coordinate effectively across departments.
  • Confident handling confidential information and working with HR processes, compliance requirements, and internal systems.
  • Service-minded and proactive, with a polished, welcoming approach that reflects the standards of a premium hospitality environment.
  • Adaptable and solution-oriented, able to respond quickly to operational changes, staffing needs, and last-minute updates.
