The POS Systems Administrator is the operational owner of the venue’s point-of-sale environment, ensuring the system runs smoothly across service periods, locations, and departments. In a restaurant, club, or lounge, this role keeps transaction flows accurate, menu data current, and the technology supporting front-of-house and back-of-house teams reliable and user-friendly. It is a hands-on support role that directly impacts speed of service, order accuracy, cash control, reporting, and the overall guest experience.
Typically positioned within the Technology & Systems function, the POS Systems Administrator works closely with operations, finance, bar and kitchen leadership, and often external POS vendors or IT support partners. The role usually reports to the Operations Manager, IT Manager, or Director of Technology/Systems, depending on the venue structure and scale.
Key responsibilities include:
- Managing day-to-day POS administration, including user accounts, permissions, device settings, menu programming, and item updates.
- Maintaining system integrity by testing changes, troubleshooting errors, and coordinating fixes to minimise downtime.
- Supporting service teams through training, system guidance, and rapid resolution of POS-related issues during live operations.
- Working with management to build, adjust, and maintain menus, modifiers, pricing, promotions, and service charges.
- Monitoring transaction accuracy, voids, discounts, refunds, and end-of-day reports to support cash control and compliance.
- Liaising with finance and operations teams to ensure sales data, reporting structures, and audit trails are accurate and useful.
- Assisting with system upgrades, integrations, hardware setup, and new venue openings or seasonal changes.
The best person for this role is highly organised, calm under pressure, and technically confident, with a strong understanding of hospitality operations. They need excellent attention to detail, a practical problem-solving mindset, and the ability to communicate clearly with both frontline staff and management. Success in the role depends on being responsive, discreet, process-driven, and able to balance technical accuracy with the fast pace of a live service environment.
