The Guest Services Coordinator is the front-line hospitality lead responsible for shaping a seamless, welcoming, and high-energy guest experience in a club or nightlife environment. This role ensures that every arrival, reservation, special request, and service interaction reflects the venue’s standards of luxury, efficiency, and guest care. It is a highly visible position that helps set the tone for the entire guest journey, from pre-arrival communication through to departure.

Within the organisational structure, the Guest Services Coordinator typically sits within the front-of-house or guest experience team and works closely with the host team, reservations, security, management, and VIP service staff. The role usually reports to the Guest Experience Manager, Assistant General Manager, or Venue Manager, depending on the size and structure of the operation.

Key responsibilities include:

  • Managing guest bookings, confirmations, waitlists, and special requests with accuracy and discretion.
  • Coordinating VIP arrivals, table assignments, bottle service, and personalized guest experiences.
  • Serving as a central point of contact between guests, hosts, security, and service teams to ensure smooth operations.
  • Monitoring guest flow, peak-period demand, and table turnover to support revenue and service targets.
  • Handling guest concerns or service recovery situations promptly, professionally, and with calm judgment.
  • Maintaining up-to-date guest profiles, preferences, and notes to support repeat business and relationship-building.
  • Supporting promotional events, private bookings, and high-profile occasions with strong attention to detail.

The ideal person for this role is:

  • Highly polished, personable, and confident in a fast-paced, high-pressure environment.
  • Exceptionally organized with strong multitasking and communication skills.
  • Calm, diplomatic, and solutions-focused when managing guest expectations or resolving issues.
  • Comfortable working evenings, weekends, and peak nightlife hours.
  • Naturally attentive to detail, with a strong sense of discretion, professionalism, and service standards.
  • Motivated by creating memorable guest experiences while supporting commercial performance and team coordination.
