The Office Manager in Purchasing, Finance & Administration is the central organiser of the venue’s back-office operations. This role keeps the administrative heartbeat of the restaurant, club, or lounge running smoothly by ensuring that purchasing, financial processes, records, and daily office coordination are handled accurately, efficiently, and in line with company standards. It is a key support position that helps leaders focus on guest experience, revenue, and operational performance.

The Office Manager typically sits within the administrative and finance function of the business, working closely with the General Manager, Financial Controller or Accounts team, and department heads across operations, purchasing, and HR. In many venues, the role reports directly to the General Manager, Financial Manager, or Operations Manager, depending on the structure of the business. The Office Manager is often the first point of contact for internal administrative matters and plays a vital role in connecting the front-of-house, back-of-house, and head office functions.

Key responsibilities include:

  • Managing day-to-day office administration, filing, correspondence, and internal communication
  • Supporting purchasing processes, supplier coordination, purchase order tracking, and invoice follow-up
  • Assisting with finance administration such as data entry, reconciliations, expense tracking, and document control
  • Maintaining accurate records for stock, payroll support, compliance files, and operational reporting
  • Coordinating office supplies, equipment, and general administrative resources
  • Ensuring deadlines are met for reporting, approvals, and payment cycles
  • Supporting audits, compliance checks, and document preparation as required

The right person for this role:

  • Is highly organised, dependable, and detail-oriented
  • Works calmly under pressure and can manage multiple priorities
  • Communicates clearly and professionally with both operational and office teams
  • Has strong computer skills and confidence with systems, spreadsheets, and records
  • Demonstrates discretion, integrity, and a service-minded approach
  • Is proactive, adaptable, and able to bring structure to a fast-paced hospitality environment

This role suits someone who enjoys being the operational anchor of the business and takes pride in keeping systems, information, and people aligned.
